Cancellation, Refund & Modification Policy

1. Acceptance of Terms

By making a booking on TripBooking.ai, the customer expressly acknowledges and agrees that:

  • The customer has read, understood, and accepted this policy in its entirety
  • The customer has reviewed and accepted the specific cancellation, refund, and modification terms displayed at the time of booking
  • Such terms, together with this policy, constitute a legally binding agreement between the customer and TripBooking.ai

The customer further agrees that:

  • All booking terms, conditions, charges, and deadlines displayed at the time of booking are final and applicable
  • Failure to review or understand this policy or the booking terms shall not relieve the customer of any obligations under this agreement

2. Governing Terms of Booking

All bookings made through TripBooking.ai shall be governed by:

  • This Cancellation, Refund & Modification Policy; and
  • The specific cancellation, refund, and booking terms displayed during:
    • Room selection; and
    • Checkout

In the event of any inconsistency, ambiguity, or conflict between this policy and the terms displayed at the time of booking, the stricter condition and/or the terms displayed at the time of booking shall prevail and be binding.

3. Cancellation Policy Framework

3.1 Policy Types

Bookings on TripBooking.ai may be categorized under one of the following:

  • Non-Refundable
  • Refundable (partially refundable, subject to conditions)
  • Flexible Change / Date Change Only (where applicable)

The applicable type is clearly displayed at the time of booking.

3.2 Refundable Bookings (Defined)

Bookings labeled as "Refundable" are not fully refundable.

For such bookings:

  • Free cancellation may be available until a specified deadline
  • After such deadline, cancellation charges may apply, which may include partial or full charges
  • No refund may be available within a specified period prior to check-in

The exact deadlines, charges, and conditions:

  • Are displayed at the time of booking
  • May vary by hotel, room type, rate plan, or travel date

These terms form part of the final and binding booking agreement.

3.3 Non-Refundable Bookings

  • Cannot be cancelled, refunded, or modified under any circumstances once confirmed

3.4 Date Change Only / Flexible Change

For bookings marked as allowing date changes:

  • Cancellation is not permitted
  • Refunds are not available
  • Date changes may be allowed subject to:
    • Availability
    • Rate differences
    • Additional charges

4. Blackout & Peak Period Policy

Bookings made during high-demand or restricted periods are subject to strict cancellation and modification conditions.

Such periods include (but are not limited to):

  • Public holidays
  • Long weekends
  • Eid and festive seasons
  • Special events
  • Hotel-imposed blackout dates

During these periods:

  • Bookings are strictly non-refundable and non-cancellable
  • Cancellation, refund, or modification is not permitted

These conditions will be clearly indicated at the time of booking and shall form part of the final and binding booking agreement

5. Cancellation Requests

All cancellation requests must be submitted through one of the following official channels:

  • By emailing hello@tripbooking.ai; or
  • By logging into your account and selecting My Bookings → Cancel

Requests submitted via any other method, including but not limited to:

  • Social media messages
  • Phone calls
  • Informal or third-party communication

shall not be considered valid cancellation requests.

All cancellation requests:

  • Must be submitted within the applicable cancellation window as shown at the time of booking
  • Will be considered received only when:
    • Successfully submitted through the platform; or
    • Received in the TripBooking.ai email system
  • The timestamp recorded in TripBooking.ai's system shall be the sole and final reference for determining eligibility
  • Incomplete, unclear, or improperly submitted requests may be rejected or may not be processed within the required timeframe
  • Requests submitted after the applicable cancellation deadline will be automatically rejected without exception

6. No-Show Policy

Failure to check in on the scheduled check-in date shall be treated as a No-Show.

In such cases:

  • The entire booking, including all nights and services, will be automatically cancelled
  • The booking will be forfeited in full
  • No refund, credit, rescheduling, or partial usage will be permitted

For multi-night bookings:

Failure to check in on the scheduled check-in date will be treated as a No-Show and will result in cancellation of the entire reservation, including all subsequent nights.

Arrival on a later date after the scheduled check-in:

  • Will not be considered a valid check-in
  • Will not reinstate the original reservation
  • May require a new booking at the prevailing rate, subject to availability

TripBooking.ai shall not be liable for any unused nights, services, or related costs arising from such No-Show or late arrival.

7. Refund Policy

7.1 Eligibility

Refunds shall only be processed under the following circumstances:

  • The booking qualifies for a refund in accordance with the specific cancellation terms displayed at the time of booking; or
  • TripBooking.ai, or the service provider, is unable to deliver the confirmed booking, as verified by TripBooking.ai

Refund eligibility shall be determined solely by TripBooking.ai in accordance with this policy

7.2 Deductions

All refunds, if applicable, shall be processed after deduction of:

  • Payment gateway charges
  • Bank processing fees
  • Service or convenience fees
  • Any applicable third-party charges

All such charges are non-refundable under all circumstances

7.3 Convenience Fee

TripBooking.ai applies a convenience fee (currently 2.95% of the booking value).

  • This fee is non-refundable under all circumstances, including cancellations eligible for refund

7.4 Processing Time

Approved refunds will be processed within the following timelines:

  • Card payments: 10-15 working days
  • Mobile financial services: 3-5 working days

Actual credit timelines may vary depending on the customer's financial institution. TripBooking.ai shall not be responsible for delays caused by banks, payment gateways, or financial service providers.

8. Modifications & Changes

All modification requests, including date changes, are:

  • Subject to availability and approval by TripBooking.ai
  • Governed by the specific terms displayed at the time of booking
  • Required to be submitted within the applicable timeframe as defined in the booking terms

TripBooking.ai reserves the absolute right to:

  • Approve or reject any modification request at its sole discretion
  • Apply additional charges, fees, or restrictions as deemed applicable

8.1 Modification Limits

  • A maximum of one (1) date change may be permitted per booking, provided the request is made within the applicable free cancellation window (if available)
  • The first permitted date change:
    • Does not guarantee price protection
    • Is subject to:
      • Availability
      • Rate differences
      • Service or processing fees
      • Any applicable third-party charges

Any subsequent modification requests:

  • Are not guaranteed
  • May be permitted only at the sole discretion of TripBooking.ai
  • May require:
    • Additional fees or charges
    • Rebooking at the prevailing rate
    • Compliance with new booking conditions

8.2 Pricing Adjustment Rule

  • If the revised booking cost is higher → the customer shall pay the difference
  • If the revised booking cost is lower → no refund or credit of the difference shall be provided

8.3 Additional Conditions

  • Modification requests do not guarantee:
    • Retention of original pricing
    • Retention of original availability
    • Retention of original booking conditions
  • Once a booking has been modified:
    • It may become non-refundable and non-cancellable, unless otherwise stated
    • The updated booking shall be subject to new pricing, cancellation, and refund terms
  • Multiple or repeated modification requests may be:
    • Restricted
    • Declined
    • Subject to additional charges
  • Failure to comply with modification requirements may result in:
    • Rejection of the request; or
    • Requirement to make a new booking at the prevailing rate

8.4 No Waiver of Charges

The ability to modify a booking does not constitute a waiver of applicable charges, pricing adjustments, or any terms and conditions associated with the booking.

9. Dynamic Policy Variation

Cancellation terms, refund eligibility, and charges may vary based on hotel, room type, rate plan, or travel dates, including peak periods. Customers acknowledge that such variations are standard and form part of the booking terms.

10. Service Provider Dependency

TripBooking.ai facilitates bookings with independent third-party service providers, including but not limited to hotels and accommodation partners.

While cancellation, refund, and modification terms are confirmed at the time of booking:

  • The execution of cancellations, refunds, and changes is subject to the operational processes and confirmation of the respective service provider
  • TripBooking.ai does not have direct control over the fulfillment of such requests by service providers

In certain circumstances, including but not limited to:

  • Operational limitations
  • Provider system constraints
  • Provider refusal or delay

The outcome of a cancellation, refund, or modification request may be affected. TripBooking.ai shall:

  • Make reasonable efforts to facilitate such requests
  • Communicate outcomes to the customer

However, TripBooking.ai shall not be held financially or otherwise liable for any failure, delay, or refusal by a service provider, or any inability to process a cancellation, refund, or modification beyond the confirmed terms.

11. Service Disclaimer

TripBooking.ai does not own, operate, manage, or control any hotels or accommodation providers listed on the platform. Accordingly, TripBooking.ai shall not be liable for any acts, omissions, or deficiencies of such service providers, including but not limited to:

  • Service quality or standards
  • Amenities, facilities, or room conditions
  • Staff behavior or conduct
  • Operational issues, including delays, overbooking, or service disruptions

TripBooking.ai makes reasonable efforts to provide accurate information; however:

  • It does not guarantee the accuracy, completeness, or reliability of content provided by service providers.

TripBooking.ai shall not be responsible for any loss, damage, inconvenience, or dissatisfaction arising from the use of services provided by third-party providers.

12. Exceptional Circumstances

In the event that a confirmed booking is unable to be fulfilled by the service provider for reasons beyond the customer's control, as determined by TripBooking.ai, the following may apply:

TripBooking.ai may, at its sole discretion:

  • Offer an alternative accommodation of similar standard (subject to availability); or
  • Issue a refund in accordance with the Refund Policy, after applicable deductions

TripBooking.ai reserves the right to:

  • Determine whether such circumstances qualify as an exceptional case
  • Decide the appropriate resolution based on availability and operational constraints

Acceptance of an alternative accommodation shall constitute full settlement of the original booking.

Refusal of a reasonable alternative may result in limited or no refund, subject to applicable terms.

13. Force Majeure

TripBooking.ai shall not be liable for any failure, delay, disruption, or inability to perform its obligations due to events beyond its reasonable control, including but not limited to:

  • Natural disasters
  • Weather conditions
  • Government restrictions or regulations
  • Transportation disruptions
  • Political unrest
  • Public health emergencies
  • Any other unforeseen or unavoidable circumstances

In such cases:

  • Cancellation, refund, or modification requests are not guaranteed
  • Any assistance, support, or alternative arrangements provided shall be at the sole discretion of TripBooking.ai

TripBooking.ai shall not be responsible for any direct or indirect loss, additional costs or expenses, inconvenience, delay, or disruption arising from such events.

14. Payment & Transaction Charges

All payment-related charges associated with a booking are non-refundable under all circumstances, including cases where a booking may otherwise be eligible for a refund.

Such charges include, but are not limited to:

  • Payment gateway fees
  • Bank processing charges
  • EMI, installment, or financing-related charges
  • Currency conversion fees (if applicable)
  • Any other transaction-related costs imposed by financial institutions or payment providers

TripBooking.ai shall not be responsible for any fees charged by banks, card issuers, or payment service providers, or any loss arising from exchange rate fluctuations or transaction-related deductions.

15. Disputes & Chargebacks

Customers agree not to initiate chargebacks or disputes without first contacting TripBooking.ai for resolution. Any chargeback, payment dispute, or reversal initiated by a customer without valid grounds under this policy shall be considered a breach of these terms.

Customers agree to contact TripBooking.ai to seek resolution before initiating any chargeback or payment dispute.

In such cases, TripBooking.ai reserves the right, at its sole discretion, to:

  • Suspend or permanently restrict the customer's account
  • Deny future bookings or services
  • Initiate legal or recovery action to recover any outstanding amounts or losses

TripBooking.ai reserves the right, at its sole discretion, to:

  • Challenge, contest, and defend any chargeback, payment dispute, or reversal that is inconsistent with this policy or the terms agreed at the time of booking
  • Submit booking records, transaction data, communication logs, and evidence of policy acceptance to payment processors, banks, or relevant authorities
  • Recover all financial losses arising from such disputes, including but not limited to:
    • Chargeback fees
    • Administrative costs
    • Legal expenses
    • Any unrecovered booking amounts

Any dispute or chargeback initiated without valid grounds under this policy may be treated as a breach of these terms and may result in account suspension or restriction, denial of future services, or legal recovery action, where applicable. TripBooking.ai's determination of the validity of a dispute shall be final and binding, subject to applicable laws.

16. Communication Policy

Only written communication issued by TripBooking.ai through its official channels shall be considered valid and binding.

Official channels include:

  • Emails sent from TripBooking.ai domains
  • Notifications or messages within the TripBooking.ai platform or user account

Verbal assurances, including but not limited to:

  • Phone calls
  • In-person discussions
  • Informal communication

as well as any third-party representations, shall not be binding under any circumstances.

TripBooking.ai shall not be liable for:

  • Any misunderstanding arising from unofficial or incomplete communication
  • Any reliance placed on information not formally confirmed through official written channels

Customers are responsible for reviewing all written confirmations and ensuring that any requests or changes are acknowledged through official TripBooking.ai communication.

17. Limitation of Liability

To the maximum extent permitted by applicable law, TripBooking.ai's total liability arising out of or in connection with any booking, transaction, or use of the platform shall be strictly limited to the total amount paid by the customer for the relevant booking.

Under no circumstances shall TripBooking.ai be liable for any:

  • Indirect, incidental, or consequential damages
  • Loss of profits, revenue, or business opportunities
  • Loss of data, goodwill, or reputation
  • Additional costs, expenses, or inconvenience arising from the booking or use of services

This limitation applies regardless of the nature of the claim, including but not limited to contract, tort (including negligence), misrepresentation, or any other legal or equitable basis.

18. Customer Responsibility & Misuse Policy

Customers are responsible for carefully reviewing all booking details prior to confirmation, including but not limited to:

  • Cancellation and refund terms
  • Pricing and applicable charges
  • Dates, room type, and booking conditions

Failure to review or understand such information shall not constitute valid grounds for refund, cancellation, dispute, or claim.

TripBooking.ai reserves the right to reject any request, complaint, or claim that is determined, at its sole discretion, to be:

  • Inconsistent with the agreed booking terms
  • Misleading or inaccurate
  • Fraudulent or made in bad faith

Any misuse of the platform, including but not limited to:

  • Repeated or abusive refund requests
  • Unjustified complaints or disputes
  • Attempts to exploit policies for financial gain

may result in account suspension or restriction, denial of future services, or legal or recovery action where applicable.

19. Final Authority

TripBooking.ai reserves the right, at its sole discretion, to:

  • Interpret and apply this policy
  • Approve or reject any request, claim, or exception
  • Determine the appropriate resolution in accordance with this policy

All decisions made by TripBooking.ai shall be final and binding, subject to applicable laws and regulatory requirements.

20. Customer Acknowledgment

By completing a booking on TripBooking.ai, the customer acknowledges and agrees that:

  • The customer has read, understood, and accepted this policy in its entirety
  • The customer has reviewed and accepted the specific cancellation, refund, and booking terms displayed at the time of booking
  • Such terms, together with this policy, constitute a binding agreement between the customer and TripBooking.ai

The customer further acknowledges that:

  • All charges, deadlines, and conditions shown at the time of booking are final and applicable
  • Failure to review or understand such terms shall not constitute grounds for refund, dispute, or claim

Nothing in this section shall limit the customer's rights under applicable laws; however, all claims shall be assessed in accordance with the agreed booking terms and this policy.
